Company privacy

This page describes company-related data processing in Movemio for moving companies. The platform operator is Flow Force One GmbH, Weierstrasse 1, 8712 Stäfa, Switzerland.

During a new company registration, the email address is confirmed first and the mobile number second. The account is created only after both codes have been verified. To prevent the same email address or mobile number from being used for multiple company accounts or welcome gifts, Movemio retains dedicated, non-reversible contact fingerprints. When the account is closed, the plaintext contact details are removed; these minimal abuse-prevention bindings remain and their necessity is reviewed annually. Register and VAT numbers remain optional self-declarations and are not officially verified.

Privacy requests from a company account or company platform functions can be submitted through the company privacy form.

Product areas

Movemio provides moving companies with a platform comprising digital captures, a company account, subscription and allowance functions, and an area for prepared customer requests. Company contractual acceptance covers the Movemio platform terms for moving companies.

A company’s own customer links and on-site captures remain assigned to its account. For reserved on-site visits, Movemio processes the planned visit time and sends a necessary company notification with a link to the company workspace on the visit day. Prepared customer requests are used only after the intended approvals, payments and platform rules.

Company account

Movemio may process company, user, login, role, approval, contract and security data to create accounts, manage permissions, protect the platform, keep records and communicate with the company.

Digital captures and prepared requests

Movemio processes data for customer links, on-site captures, inventory values, delivery, credits, plans, payments, prepared requests, MatchPlans, contact release, abuse protection and records where required.

Companies see only the data released for the relevant step and may use it only for the specific moving or MatchPlan process. The company remains responsible for its own customer relationships, entries and lawful use of customer contact details.

A customer link is accessible for 30 days after sending. For a reserved on-site visit, the link remains valid for at least 30 days and, where the appointment is later, through the fourteenth calendar day after the visit. Expiry ends token access but does not automatically delete the record; retention depends on purpose, instructions from the responsible company and applicable duties.

For transactional delivery of a customer link and related reminders, Movemio processes the mobile number entered by the company and the necessary delivery records. Communication providers are used as processors. Transactional SMS logs are retained for one month in the Movemio account.

Processing on behalf

Where Movemio processes data on a moving company’s instructions, the roles, security measures, assistance duties, subprocessor rules and return and deletion obligations are governed by the separate Data Processing Agreement (DPA).

Service-provider categories

Technical service providers may be used for operations, email and SMS delivery, analysis, payment and security.

Legal bases and purposes

Depending on the process, processing supports pre-contractual steps or contract performance, compliance with legal obligations, legitimate interests in secure platform operation, or relies on consent where consent is required.

Retention periods

Company-account, contract, payment, delivery, security, capture, request, MatchPlan and privacy-request records are retained for as long as required by the platform purpose, abuse protection, and evidence or retention duties. Operational data no longer required is removed or reduced under the intended deletion processes.

Rights

Data subjects may request access, correction, deletion, restriction, objection, withdrawal of consent and data portability to the extent provided by law. The company privacy form is available for this purpose.
